PDF document handoff checklist
A PDF handoff can fail even when the document opens. The sender may attach the wrong version, leave a comment, expose an attachment, or redact only the visible layer.
Scope and version
Confirm the recipient, purpose, filename, version, page range, and required fields. Remove unnecessary pages and attachments. Keep the original separate from the delivery copy.
Content and privacy
Search names, numbers, addresses, emails, signatures, and known confidential phrases. Inspect scans, OCR, forms, annotations, comments, links, metadata, and embedded files. Ensure every redaction permanently removes the underlying content.
Delivery and record
Open the export in another viewer, check page order and links, apply encryption when required, and send passwords separately. Record the recipient, date, and version according to policy.
